What FlexOps Is
FlexOps is a shipping and logistics platform that includes three main components:
- FlexOps Website (
flexops.io) — account management, billing, and documentation. - Ship Manager — a web application for warehouse operations, order fulfillment, and label printing.
- Gateway API — a RESTful API for programmatic access to shipping, tracking, rates, and address validation.
By creating an account or using any part of the platform, you agree to the full Terms of Service.
Your Account and Workspace
- You need an account with a valid email address to use FlexOps.
- Each user can create one free Workspace. Additional Workspaces require a paid plan.
- Joining an existing Workspace by invitation is always free.
- You must be at least 18 years old to use the platform.
- You are responsible for keeping your login credentials secure and for all activity under your account.
Plans and Billing
FlexOps offers three categories of plans:

- All plans are billed monthly via Stripe, on the anniversary of your subscription start date.
- Paid plans renew automatically at the then-current price until you cancel. There is no minimum term and no cancellation fee. You can cancel yourself at any time in your Workspace billing settings, and cancellation takes effect at the end of the period you have already paid for.
- We email you a receipt after each charge, and give you 60 days' notice before any price increase — you can cancel before it takes effect.
- Free plans (Starter and Developer) are intended for evaluation, development, and low-volume production use.
- Plan changes take effect at the start of the next billing cycle.
- Prices do not include applicable taxes or government assessments unless stated otherwise. You are responsible for applicable taxes, customs duties, tariffs, brokerage fees, and carrier adjustments associated with your shipments.

Using the API
If you use the Gateway API:
- API Keys are your credentials. They are shown only once at creation — FlexOps cannot retrieve lost keys.
- Never expose secret or live keys in client-side code, public repos, or browser JavaScript.
- Always use HTTPS — HTTP requests are rejected.
- The API uses URL-based versioning (v1 through v5). Deprecated versions get at least 90 days' notice before sunset.
- Rate limits apply — 100 requests per minute per IP, plus plan-based token bucket limits. The API returns
429 Too Many Requestswith aRetry-Afterheader when limits are exceeded.

Usage Limits
- Each plan includes a monthly label allocation. Labels beyond your allocation incur overage fees ($0.05–$0.10 per label, depending on source).
- Labels stop when the overage buffer runs out. The buffer is 2,500 extra labels for API-generated labels and 1,000 for Ship Manager. Once it is fully used, label generation is blocked until your next reset or a plan upgrade — so watch the alerts.
- API call budgets are separate from label counts. Free plans have hard limits; paid plans have a 10% buffer zone. There are no per-call overage fees.
- Label allocations reset on your own monthly reset date (from your subscription start date). API call budgets reset on the first of each calendar month at 00:00 UTC. Your dashboard shows both.
- You will receive email notifications at 80% of your allocation, when the allocation is used up, and at 75% of the overage buffer.
What You Can and Cannot Do
You may use FlexOps for legitimate shipping operations: generating labels, calculating rates, validating addresses, tracking shipments, managing orders and inventory, and building integrations.
You must not:
- Abuse free-tier quotas (e.g., using the API purely as a free address validation service without shipping).
- Create multiple free-tier accounts to circumvent limits.
- Resell or redistribute platform access without a written agreement.
- Reverse engineer carrier integrations.
- Circumvent rate limits via IP rotation or credential cycling.
- Transmit malware or exploit code.
- Perform unauthorized load testing or denial-of-service attacks.
- Ship items prohibited by law or carrier policies.
You are responsible for providing accurate shipment and customs information and for complying with carrier rules, customs requirements, import and export controls, economic sanctions, and laws governing restricted or hazardous materials.

What You Take On
These are the obligations in the full Terms that run against you rather than us. They are summarized here so nothing important is buried.
- You cover us if your shipping causes a claim. Under Section 16 you agree to defend FlexOps and pay the resulting costs, including reasonable legal fees, for claims arising from your use of the platform in breach of the Terms, your breach of the law or a carrier's terms, shipments of prohibited or hazardous items, your negligence, or claims about your own applications and integrations. You control the defense; we have to tell you promptly and cooperate.
- Your subscription renews on its own until you cancel — see Plans and Billing above.
- We can end the relationship too. We may suspend you immediately for Terms violations, security risks, sanctions issues, or invoices unpaid over 30 days. We may also terminate any account without cause on 30 days' notice — and if we do, you get a pro-rata refund of the prepaid time you did not use.
- We can change these Terms. We give 30 days' notice of material changes. Continuing to use FlexOps after the effective date means you accept them. If you do not accept a change, you can close your Workspace before it takes effect and we refund the unused part of your current billing period.
- Disputes go to individual arbitration — unless you opt out within 30 days of accepting the Terms by emailing legal@flexops.io. See Governing Law below.
- Compliance calls are yours. Anything the platform tells you about hazmat or restricted-item eligibility is an aid, not a ruling. Carriers do not reliably reject a non-compliant label at purchase, so an accepted label is not proof a shipment was allowed.
- Disputes with a carrier are between you and the carrier. You release FlexOps from claims arising out of them, including claims you did not know about — California residents waive Civil Code 1542 for this. It covers third-party disputes only, never our own conduct.
- We may name you as a customer and use your logo to say so. Tell us at legal@flexops.io and we will stop. It covers the fact that you are a customer, nothing about your business.
Third-Party Services
FlexOps connects to third-party services that have their own terms:
- Enabled carriers — their terms independently apply to shipments you create through that carrier.
- Stripe — handles payment processing.
- Plaid — provides financial data connectivity (where enabled).
FlexOps does not control carrier availability, rates, or delivery outcomes.
Your Data
- You own your data. FlexOps processes it only to provide the service, plus aggregated statistics that cannot identify you, your customers, or any recipient. We do not sell or share your data, and we do not use it to train models for other customers.
- FlexOps is offered to US customers, for shipments originating in the US. If you need a GDPR or UK GDPR data processing agreement, our DPA is published — email legal@flexops.io before signing up so we can put it in place.
- Three documents, three jobs: the Privacy Policy covers your account data, the DPA covers data you upload about your customers, and the Website Notice covers marketing-site visitors.
- FlexOps does not store credit card numbers, bank details, raw API keys, or user passwords.
- Data is isolated per Workspace — cross-workspace access is architecturally prevented.
- We keep shipment records for 7 years after account closure, security logs for 2 years, and billing summaries for 24 months, unless a legal hold applies.
- Upon account termination, your data will be deleted per our retention policy. You may request a data export before closure.

Security
- HTTPS is mandatory — all connections use TLS 1.2+.
- Requests are inspected for SQL injection, XSS, path traversal, and other attack patterns.
- API keys are stored as SHA-256 hashes — FlexOps cannot see your raw key.
- If we confirm a breach affecting your data, we notify your Workspace administrators within 72 hours.
- If you discover a vulnerability, report it to security@flexops.io.
Service Availability
- FlexOps targets 99.95% monthly uptime.
- Scheduled maintenance is announced at least 48 hours in advance.
- Carrier outages and force majeure events are excluded from uptime calculations.
- Typical API response time (p95) is under 500 ms for non-label endpoints.
Intellectual Property
- The FlexOps platform and its software remain our property.
- You retain all rights to the data you submit.
- Feedback and suggestions you provide may be used by FlexOps without obligation.
Warranties and Liability
- The platform is provided "as is" — we do not guarantee it will be error-free or uninterrupted.
- Carrier data (rates, transit times, tracking) comes from third parties and may not always be accurate.
- FlexOps's total liability is capped at the greater of fees paid in the preceding 12 months or $100. The cap does not apply to fraud, gross negligence, willful misconduct, or anything the law does not allow us to limit — and it does not cap what you owe us, or your obligations under "What You Take On" above.
- If the platform does not work as our documentation says, tell us within 30 days and we will fix it, re-perform it, or refund the unused part of that billing period. That is the remedy for that particular problem.
- Beta and preview features come with no warranty at all and can change or disappear at any time.
- FlexOps is not a carrier and is not liable for lost, damaged, or delayed shipments.
Termination
- You can cancel anytime through your Workspace settings. Prepaid fees are non-refundable, except where our warranty remedy, a Terms change you rejected, or a termination by us without cause applies — see the Refund Policy.
- FlexOps may suspend your access immediately for Terms violations, security risks, sanctions concerns, or unpaid invoices over 30 days; or terminate without cause on 30 days' notice, with a pro-rata refund.
- Upon termination, API keys are revoked, outstanding fees remain payable, and any unused upgrade credit is forfeited.
Governing Law
These Terms are governed by the law of the State of California.
- A dispute starts with a written Notice of Dispute and 30 days of good-faith negotiation.
- If that fails, it goes to binding arbitration before a single arbitrator under the AAA's rules, seated in San Francisco, California. Hearings can be held by video, and an in-person hearing you request happens near you.
- Class actions are waived — claims are brought individually.
- You can opt out of arbitration within 30 days of first accepting these Terms by emailing legal@flexops.io with the subject "Arbitration Opt-Out." Opting out changes nothing else about your account.
- Small-claims court is always available instead, and either side can go straight to court for an injunction to protect intellectual property, confidential information, or platform security.
- Where a dispute does end up in court, both sides waive a jury trial — except in states that do not allow that, such as California.
- Claims must be brought within one year of when they arise. This runs both ways, and does not shorten any period the law says cannot be shortened.
